Sister Ann Auto DM (the “Service”) is an internal tool operated by VTPL, the company behind the Sister Ann cosmetics brand (“we”, “us”). It lets our team connect Instagram professional accounts they manage and automatically reply to comments on their Reels with a private message and a public reply. This policy explains what data the Service processes through the Instagram API and how you can have it deleted.

1. Data we process

  • Connected account owners: Instagram professional account ID, username, and the access token issued when you log in with Instagram and grant permissions (instagram_business_basic, instagram_business_manage_comments, instagram_business_manage_messages).
  • People who comment on media of a connected account: comment ID, comment text, Instagram-scoped user ID and username.
  • Messages in conversations started by the Service: the automated messages we send, replies you send back, and delivery status (sent, failed, time).
  • Link visits: links in messages carry UTM parameters, so our store analytics can count visits and orders per campaign. We do not use redirect links or tracking pixels in messages.

2. How we use it

  • To send the automated private reply and public comment reply that the account owner configured for a Reel.
  • To prevent duplicates (one automated message per person per rule) and to respect sending limits.
  • To let the account owner see delivery logs and conversations, stop automated follow-ups, and reply personally.

We do not sell this data, use it for advertising profiles, or share it with third parties other than the hosting providers that run the Service.

3. Retention

  • Conversation and delivery records are kept for up to 180 days and then deleted automatically.
  • Access tokens are deleted when the account is disconnected or the app is removed from Instagram.

4. Your choices and deletion

You can disconnect your account or remove the app from Instagram at any time, and you can ask us to delete data about you. See Data Deletion Instructions.

5. Security

Data is stored on access-restricted servers. Only authorized team members can sign in to the Service, and each member can see only the accounts they manage.
